Privacy policy — Vortex Play app

Last updated: 7 October 2026

1. Data controller

Virtual Zone Italia Srl, VAT IT03339540597 — [email protected]. The app is published on Google Play by Virtual Zone Srl, which distributes it on behalf of Virtual Zone Italia Srl; the data controller for the data described in this policy is Virtual Zone Italia Srl.

2. What the app is

“Vortex Play” is a tool for venue operators running a Vortex Play VR arena. It shows, on the tablet, the control interface served by the venue PC. The app has no accounts, asks for no sign-up and is not directed at the public or at children.

3. Data the app does not collect

The app itself does not collect or send us personal data: no name, email, location, contacts, photos, audio or advertising identifier.

4. Data that stays on the device

The venue PC's address and the arena access key, received when pairing by QR code, are stored only on the tablet, in the app's private storage. They are never sent to our servers or included in device backups. They are erased by uninstalling the app or clearing its data in Android settings.

5. Camera

The app asks for camera permission only to scan the pairing QR code. Images are processed on the device and are never stored or sent to anyone.

6. Diagnostics and crashes

The interface loaded from the venue PC may send technical reports about errors and crashes to Sentry (Functional Software, Inc.), our monitoring service provider: error type, where in the program it happened, app version, device model and Android version, and network IP address. They are used only to find and fix malfunctions, contain no player data and are not used to profile people. Reports travel over HTTPS.

7. Legal basis and retention

This technical processing rests on our legitimate interest in keeping the service secure and working (Art. 6(1)(f) GDPR). Diagnostic data is kept only as long as needed for analysis and in any case no longer than the monitoring service's retention period.

8. Recipients and transfers

We do not sell or hand over data to third parties for their own purposes. Sentry processes data only on our behalf, as a data processor (Art. 28 GDPR); where data leaves the EEA, the transfer relies on the Standard Contractual Clauses approved by the European Commission.

9. Local network

The tablet and the venue PC talk over the venue's local network: that traffic stays inside the network and does not go through our servers.

10. Your rights

You can request access, rectification, erasure, restriction and objection (Arts. 15-22 GDPR) by writing to [email protected]; we will reply within 30 days. You also have the right to lodge a complaint with your data protection authority (in Italy, the Garante per la protezione dei dati personali, www.garanteprivacy.it).

11. Changes

We will update this policy if the way the app handles data changes; the last-updated date appears at the top of the page.
